Lease data extraction: retain the clause behind every proposed field

A lease extraction tool returns a renewal date in a clean spreadsheet. The reviewer still needs to know where it came from, whether an amendment changed it, and whether the source described an option, a notice deadline, or an automatic event.

I would design lease abstraction automation around a reviewable field proposal. Each value should carry the source passage, document version, and unresolved interpretation questions. A tidy cell without that context creates work for the person expected to trust it.

This is an administrative data-extraction pattern. It does not provide legal interpretation or determine a party's obligations. Authorized property and legal reviewers decide what the documents mean and which values can enter operational systems.

Agree the field dictionary first

Start with the fields the business actually uses. For each one, define its meaning, format, source expectation, and reviewer. “Renewal date” is too ambiguous if the operating process needs both an option exercise deadline and the beginning of a renewal term.

Separate dates stated directly from dates calculated under an approved rule. A calculated date needs the input values and the rule version that produced it. The application should not present a model-generated calculation as a direct quotation from the lease.

Keep monetary fields similarly explicit. A base amount, an escalation rule, a deposit, and a reimbursement obligation should not share a generic “rent” field. Units, currency, frequency, and effective periods belong in the schema.

I would begin with a limited field set that reviewers can consistently interpret. Expanding the extraction target before agreeing definitions makes apparent coverage increase while review quality falls.

Assemble the document set

The workflow needs an expected document inventory: the principal agreement, amendments, addenda, and any other materials the owner identifies as relevant. A model cannot establish that the file collection is complete merely by reading what it received.

Record document identifiers, versions, execution status as supplied by the owner, and the relationship between amendments and the original agreement. If the relationship is uncertain, flag it.

Preserve the original file and the extracted text separately. OCR output can omit a negation, misread a number, or lose the association between a table label and its value. The reviewer should be able to open the original page beside the proposed field.

If a page cannot be read reliably, show that limitation. Filling the gap with a plausible value turns a document-quality issue into a hidden data error.

Extract candidates with evidence

For each candidate value, retain the exact supporting passage, a page or section reference, and the source version. Include an extraction status such as directly stated, calculated under an approved rule, ambiguous, conflicting, or not found.

“Not found” should describe the search result, not a conclusion that the agreement contains no relevant provision. The reviewer may need to inspect a scanned appendix or a clause the extraction missed.

A model confidence number is not enough to approve a field. I would prioritize evidence quality: can the reviewer find the passage, does it support the proposed value, and does another document modify it?

Keep candidate values separate from accepted values in storage. The operating system should receive only fields that have passed the defined review. That separation prevents an early extraction run from overwriting a previously reviewed record.

Handle amendments as conflicts to resolve

An amendment may replace one clause while leaving others unchanged. The workflow should show possible affected fields and the relevant passages together. It should not assume that every later document overrides every earlier value.

The reviewer needs to record the accepted value and its supporting document set. If the determination requires professional interpretation, route it to the authorized reviewer instead of making the extraction prompt more forceful.

I would also keep the previous accepted value and the reason for revision. That history explains why the operational record changed and helps the team identify downstream tasks that may need updating.

A new amendment should trigger a targeted review of potentially affected fields, not silently regenerate and replace the entire abstract.

Validate structure without pretending to validate meaning

Ordinary code should check data types, required units, and identifier relationships. A date field can reject an invalid date format. It cannot establish that the selected date is legally controlling.

PostgreSQL's constraints provide examples of enforcing required values, uniqueness, and relationships between records. These checks help keep accepted lease data structurally consistent while leaving interpretation with the reviewer. PostgreSQL constraints

Use explicit exception records for unresolved fields. Do not force a placeholder date or zero amount just because the destination system requires a value. Either adapt the integration to represent unknowns safely or hold the record until the owner resolves it.

For calculated fields, test the rule independently with known examples. The language model should not be responsible for both interpreting the input and certifying the arithmetic.

Make review efficient

A useful review screen groups fields by source section and displays the original page with the proposed values. Let the reviewer accept, correct, reject, or defer each field with a reason.

Highlight changes from the last approved abstract. A reviewer should not reread every unchanged value to find the one field affected by an amendment. At the same time, preserve access to the complete document set so targeted review does not hide context.

Approval should bind to the field values and source versions reviewed. If the OCR process is rerun or a source file is replaced, identify what changed and invalidate affected approvals according to the agreed policy.

Record the reviewer identity and time without presenting that record as a legal certification. It is evidence of the workflow step performed.

Test difficult documents before expanding

Use redacted or synthetic examples containing scanned pages, rotated tables, handwritten additions, conflicting amendments, missing pages, and similar dates with different meanings. Agree the expected extraction and review behavior for each example.

Evaluate at the field level. A document-level success label can hide one incorrect deadline among many correct addresses and names. Track missed fields, unsupported fields, and corrections separately.

Include a case where the right behavior is to leave the value unresolved. A system that always fills every cell can look more productive while producing less trustworthy data.

Test access and deletion paths too. Lease documents and extracted fields may contain sensitive commercial information. The integration should follow the organization's access and retention rules across source storage, review tools, and logs.

Scope the first implementation around one use

I would choose one operational use for the accepted data, such as preparing a reviewed lease abstract for a property team. I would exclude autonomous notices, payments, or decisions about rights from the first release.

Measure reviewer time per accepted field set, correction categories, and unresolved cases. Compare documents of similar complexity so a batch of clean digital files does not create a misleading baseline for scanned legacy documents.

Bring a redacted lease packet, the spreadsheet or system you populate today, and the field definitions your reviewers use.
